Refund Policy

This Refund Policy explains when and how you can receive refunds for BidChamp subscription payments. It applies to all paying customers of Tomsons Digital LLC (operator of the BidChamp platform at https://bidchamp.ai).


1. 14-day free trial

When you sign up for any paid plan (Solo $59/mo, Pro $119/mo, or Team $349/mo):

  • We collect your payment method to verify identity and prevent fraud
  • You are not charged during the 14-day trial period
  • You can cancel anytime during the trial via Account Settings or by emailing us — no charge will occur
  • If you do not cancel before the trial ends, your subscription automatically converts to paid

2. 30-day money-back guarantee

If you are charged for the first time after your trial converts and decide BidChamp isn't right for you, you can request a full refund within 30 days of your first paid charge, for any reason — no questions asked.

To request a first-month refund:

  1. Email support@bidchamp.ai (or giorgi.jgere@gmail.com) with:
    • Your account email
    • Date of charge
    • Subject line: "Refund Request"
  2. We will process your refund within 5-10 business days to your original payment method
  3. Your subscription will be cancelled effective immediately upon refund

3. After the first 30 days

After the 30-day money-back window:

3.1 Monthly subscriptions

  • You can cancel anytime. Cancellation takes effect at the end of your current billing period.
  • You retain access to the Service through that period.
  • We do not issue prorated refunds for partial months.

3.2 Annual subscriptions

  • You can cancel anytime. Cancellation takes effect at the end of your current annual term.
  • For annual plans, we offer prorated refunds for unused months only in the following cases:
    • We materially reduce features included in your plan without notice
    • We discontinue the Service entirely
    • We breach these Terms or our service-level commitments
  • Otherwise, annual plans are non-refundable after the first 30 days.

4. Refunds for service failures

If you experience extended downtime or service-level failures, contact us. We will evaluate the situation and may issue:

  • Service credits toward future months (preferred)
  • Refunds for documented periods of unavailability exceeding 24 consecutive hours

We do not provide automatic SLA credits at this stage; resolution is case-by-case.


5. Plan changes (upgrade/downgrade)

5.1 Upgrades (Solo → Pro, Solo → Team, Pro → Team)

  • Take effect immediately
  • You are charged the prorated difference for the remaining days of your billing cycle
  • Future cycles bill at the new plan rate

5.2 Downgrades (Team → Pro, Team → Solo, Pro → Solo)

  • Take effect at the end of your current billing cycle
  • No refunds for the difference in plan price
  • Features specific to higher tiers (e.g., Team workspace, multiple seats) become unavailable on the downgrade date

6. What is not refundable

The following are not subject to refund:

  • One-time setup fees, onboarding services, or custom integration work (if any)
  • Charges for usage beyond plan limits (overage fees, if applicable)
  • Subscriptions cancelled solely because the customer did not actively use the Service
  • Subscriptions terminated due to violation of our Terms of Service
  • Any third-party fees (e.g., wire transfer fees, currency conversion fees applied by your bank)

7. Disputed charges

If you notice a charge you believe is in error:

  1. Contact us first at support@bidchamp.ai — we resolve most billing questions within 1-2 business days
  2. If we cannot resolve, you may dispute the charge with your card issuer (chargeback)

We ask that you contact us before initiating a chargeback. Filing a chargeback without first attempting resolution may result in account suspension and may delay refund processing.


8. Refund timing

  • Refund initiated: within 1-3 business days of approving your request
  • Refund posted to your card/bank: typically 5-10 business days after initiation, depending on your bank's processing time
  • Currency: refunds are issued in the same currency as the original charge (usually USD)
  • Method: refunds go back to the original payment method only; we cannot refund to a different card or bank account

9. Special situations

9.1 Account closure

If you close your account, any unused service credits are forfeited. Outstanding refundable amounts (per Sections 2 and 3) remain payable to you upon written request within 90 days of account closure.

9.2 Death or incapacity of account holder

If the primary account holder passes away or becomes legally incapacitated, the executor or legal representative may request:

  • Cancellation of the subscription with prorated refund (subject to documentation)
  • Transfer of the account to a successor user (Team plans only, subject to BidChamp approval)

9.3 Fraudulent charges

If you believe your account or payment method was used fraudulently, contact us immediately. We will:

  • Suspend the account pending investigation
  • Reverse fraudulent charges
  • Provide documentation to assist any law enforcement or card issuer investigation

11. Changes to this policy

We may update this Refund Policy from time to time. Material changes will be communicated via email at least 14 days before they take effect. The "Last Updated" date at the top reflects the most recent version.

Refund eligibility is determined by the policy in effect at the time of the original charge.


This Refund Policy is provided in English. Translations may be available on request, but the English version controls in case of discrepancy.
